CASI Minutes

April 2008

Present: all members and Marv Van Kekerix

We briefly reviewed CASI purpose, membership, and examples of previous projects.

Marv detailed the groups he’s met with to date, including but not limited to: Outreach deans, DoIT staff, Provost’s Executive Group, Deans’ working group, his own Dean’s meetings with DCS staff, Summer Session deans, and many of the division staff in both buildings.

CASI members summarized our proposed new-employee orientation project detailed in last month's minutes.

We also discussed division of labor within the division: every silo currently operates independently instead of a service model where a specialist is assigned to be available to entire dept/division. Specific example: grants coordinator, entire h.r. process. Consistently present existing functions/offices as open to all DCS "internal clients."

Everyone agreed there is a vital need for DCS communication across campus and internally. Two other important current topics: the move, and the G3 registration system project.

The Move

  • Preference for functional integration
  • Review our business practices; currently “everything is a one-off”
  • External facilitator-what kind: OQI, OHRD, SOB

Action items:

Marv will circulate the Eduventures study on "Best Practices in Inter-Unit Collaboration" for review and comments Christina will prepare move survey for Middleton Bldg. similar to Lowell version
Christina will work with Laura to develop a Move Web page

G3 (new registration system replacing Semtek)

Katy gave an overview of the G3 project and current subgroups, including (but not limited to) Steering committee, BPI Financials, BPI Marketing, BPI Registration, BPI Web, CRM, Data migration, and Techies.

Both the Move and G3 project offer an opportunity to capture synergy of both and also provide an opportunity to review/change business practices.

What effect can CASI have as a committee in assisting with dean’s priorities? What can we do to help?

  1. Identify issues
  2. Verify these are indeed the issues
  3. Identify gaps in processes
  4. Act as conduit for issues to Marv so people who aren't comfortable being identified with an issue can be heard

CASI meetings have been added to both Marv and Laura’s schedules.
